Bookings (short stays and company blocks)

Book a guest for a short stay or block beds for a company, take partial payments, extend, check out, and settle the deposit.

Use a booking for people who are not regular tenants: a guest staying a few days or weeks, or a company that blocks several beds for its team. Bookings have an agreed total, their own invoices and receipts, and no monthly rent cycle.

Use Onboard a tenant instead for anyone paying monthly rent. A short stay can be any length, and a company block is booked by headcount.

Steps

  1. Open Bookings (phone: More → Bookings) and add a new booking.
  2. Choose Guest or Company. For a guest, enter name and phone and optionally attach their ID. For a company, enter the company name, optional GSTIN, contact, and headcount.
  3. Pick the beds, set the check-in and check-out dates, the Total for the stay (₹) (the amount you agreed) and the deposit (₹). The stay invoice is created straight away.
  4. Record payments against the invoice as money arrives. Partial payments are fine, and each one gets its own receipt.
  5. To extend a stay, choose Extend, set the new check-out date and the extra amount. The extra amount gets its own invoice.
  6. To end a stay early, choose Check out. The beds are freed from that day.
  7. After check-out, settle the deposit: enter any deductions (₹), a note, and the date. The refund is the deposit minus deductions.

Good to know

  • Check-in can be in the past, today, or up to a year ahead (see Reservations below). Check-out must be after check-in.
  • Bookings check out automatically the day after the check-out date. If the beds are still free, you can still extend a booking after that.
  • Checking out early does not refund anything, and an unpaid balance never blocks check-out.
  • An active booking can only be cancelled before any payment is recorded. A reservation can be cancelled at any time.
  • The deposit is settled once. Deductions you keep count as booking income.
  • Invoices and receipts can be viewed and downloaded as PDFs from the booking.
  • Booking income shows separately from rent in Accounting, in the month it was paid.

Reservations

  • Future check-in. Set a check-in date after today (up to a year ahead) and the booking is saved as a reservation. It shows under Bookings → Upcoming and as "Reserved" on the bed in Inventory. The beds stay vacant until the guest arrives.
  • Advance payments. The invoice is created straight away, so you can record an advance or the full amount before check-in. You can also extend a reservation.
  • Check-in on the day. On the check-in date the reservation is checked in automatically and its beds become occupied. You can also open it and press Check in yourself from that day.
  • Waiting for a bed. If a tenant still hasn't moved out of a reserved bed on the check-in day, the reservation waits and shows "Waiting for bed". (A booking that ends that day is checked out for you, so it never blocks.) The booking page names the bed: free it, then press Check in. If the stay dates pass while it is still waiting, it is never checked in on its own — cancel it or extend it. The overview shows how many are arriving today and how many are waiting.
  • Cancelling keeps the money. Cancelling a reservation voids its invoices, but money already received is kept and stays in your booking income.
  • Reserved beds are protected. Tenants can't be assigned, onboarded or shifted onto a bed that is reserved for those dates. You can reserve the bed of a tenant who is on notice, for dates after they leave.
